Key Responsibilities

As our Executive Assistant, you will be instrumental in enhancing our CEO's impact and reinforcing structure in our rapidly growing environment. Your proactive approach and commitment to clarity will support established processes and ensure no detail is overlooked.

Daily Management: Oversee daily, weekly, and quarterly commitments for the CEO. Maintain effective communication practices in all interactions and ensure proper organization and preparation for responsibilities.

Strategic Alignment: Align daily tasks with strategic objectives, understanding departmental needs. Take detailed notes, organize priorities, and distribute action items to maintain alignment.

Idea Intake and Execution: Capture, prioritize, and develop actionable plans for the CEO's ideas. Ensure projects are followed through and keep processes organized.

Email, Calendar, and Travel Management: Manage the CEO's schedule, prioritize communications, and coordinate travel logistics, ensuring a seamless experience.

Event Planning and Logistics: Plan and manage logistics for in-person events, ensuring all details are handled with care and accountability.

Qualifications

Required:

3-5+ years of Executive Assistant experience in a fast-paced environment.
Experience working directly with entrepreneurs or high-level executives.
Proven ability to create and implement processes, showcasing strong organizational and detail-oriented skills.
College degree, preferably in business, marketing, or healthcare.
Familiarity or experience in marketing and healthcare sectors.
Preferred:

Background in marketing.
Business degree.
Certifications in project management or similar fields.
Experience in client services.
Interest in mission-driven organizations or community-focused initiatives.
Desired:

Direct marketing experience in the healthcare industry.
Marketing-related education or certifications.
Based in the Philadelphia/New Jersey area.
Work Environment

This role is primarily remote but may require occasional travel for client meetings and industry events. It involves extended periods of sitting, frequent computer use, and participation in virtual meetings. Candidates should maintain a quiet, ergonomic workspace with reliable internet access.
