Job Description
We are seeking a proactive and organized Executive Assistant to support a remote leadership team. This role involves being the primary point of contact for the Chief Digital Media and Marketing Officer, handling a variety of administrative tasks, and ensuring smooth operations within the marketing, media, and technology teams. The Executive Assistant will play a key role in managing schedules, coordinating projects, and providing high-level support to leadership and team members.
Key Responsibilities:
Provide comprehensive administrative support to a remote-based leadership team, including scheduling meetings, organizing travel, and managing expense reports using an online system.
Coordinate calendars, meetings, and conference calls, ensuring effective time management for the leadership team.
Attend meetings with the EVP to document action items, track tasks in project management software (Asana), and ensure follow-up on pending items.
Collaborate with other Executive Assistants to coordinate travel arrangements and meetings across departments.
Serve as the primary point of contact for the marketing, media, DHx, and technology teams, addressing issues and ensuring smooth communication.
Assist in preparing presentations for Board Meetings and other important events.
Act as a liaison between leadership and third-party teams involved in platform development and technology initiatives, tracking project updates and ensuring tasks are assigned and completed.
Facilitate communication between the EVP and team members, ensuring regular 1:1 meetings and timely discussions on goals and evaluations.
Coordinate quarterly team meetings and assist with the review of budgets by obtaining monthly financial reports.
Support content creation initiatives (e.g., podcasts, social events) by coordinating with team members and external partners, handling scheduling, and ensuring timely execution.
Assist with audience acquisition efforts for media initiatives, including identifying target audiences and managing outreach.
Review content for accuracy, including speaker credentials, sponsor information, web copy, and social media posts.
Provide general administrative support and assist in managing social media and content scheduling as needed.
Perform additional duties as required to support leadership and team objectives.
Qualifications:
Bachelor's Degree or equivalent experience required.
Minimum of 5 years of experience in an office environment, with experience supporting multiple leaders and interacting with external parties.
Proficient in MS Outlook, MS Word, MS Excel, and MS PowerPoint.
Strong editing and proofreading skills are a plus.
Professional maturity, discretion, and excellent judgment.
Exceptional written and oral communication skills, with a keen eye for detail.
Excellent organizational abilities with the capacity to manage multiple tasks and projects simultaneously.
Strong interpersonal skills, with the ability to build positive relationships with internal teams and external partners.
Self-motivated and capable of working independently, while also thriving in a collaborative team environment.
Ability to adapt to changing priorities and meet deadlines in a fast-paced setting.
Additional Information:
This is a remote position, but candidates must be located in Houston, TX.
Some travel may be required for meetings and events.
