We are a dynamic and innovative product design agency looking for an Executive Assistant to join our team in a part-time contract position with the potential for growth.

As our Executive Assistant, you will play a vital role in supporting our leadership team with various tasks that contribute to the growth of our product design studio. You'll enhance the efficiency of our day-to-day operations, allowing leadership to focus on strategic decision-making. Your organizational skills will help ensure that everything behind the scenes runs smoothly.

You will collaborate with a talented team working on cutting-edge projects that transform user experiences across industries such as healthcare and education. What You'll Be Doing:
Calendar & Meeting Management: Keep schedules organized, set up meetings, and ensure everything runs on time. If you enjoy keeping people organized, you'll thrive in this role!

Email Management: Manage the inbox, respond to emails, and ensure nothing important slips through the cracks—all while maintaining clarity and professionalism in your writing.

Outreach & Coordination: Assist with outreach to potential clients and partners, schedule follow-ups, and ensure all communication is polished and effective.

Project & Task Management: Utilize tools like ClickUp or Notion to stay on top of projects and ensure deadlines are met.

Client & Vendor Communication: Act as the primary contact for coordinating with clients and vendors, setting up calls, and ensuring clear communication.

Research & Sourcing: Conduct research on potential leads or vendors and assist in gathering information to support business decisions, delivering well-structured summaries and reports.

Provide Updates and Training via Videos: Use asynchronous tools like Loom to explain updates and walk through processes, keeping clients and partners informed—comfort on camera is essential!

Who You Are:
You possess excellent writing skills and can communicate clearly and effectively through email, phone, Slack, or Loom.

You are super organized, detail-oriented, and proactive, thriving on getting things done!

You have a curious mindset and are open to learning about new subjects.

Familiarity with marketing tools (website builders, Google Analytics, basic visual design tools such as Canva) is a plus.

You are comfortable managing multiple tasks and projects simultaneously.

Previous remote work experience is essential; you know how to work independently and stay productive in a remote environment.

You are tech-savvy and can quickly adapt to new tools (experience with Slack, ClickUp, and Loom is a bonus!).

Previous experience as an assistant or in a similar role is preferred, but if you are a fast learner, we'd love to hear from you too.
